Sales Process Enhancements for FIT Tours

What’s new

When searching for an alternative accommodation on a FIT tour booking, the system now transfers the Tour name from the original reservation item into Travel Product Search, ensuring correct FIT-based gross pricing, price difference display, and seamless price transfer to the back-office booking form. Agents are also notified when additional services cannot be preserved on the alternative product.

This update is automatically available to you once the release is launched. Please note that the usage of this update could depend on system setups (which modules/products you use) and user roles.

Problem being solved

Sales agents building FIT tour itineraries over the phone had no reliable way to find and price alternative services quickly, with visibility over the price differences and included additional services.

Benefit for the users

Agents can now communicate accurate prices to customers in real time, confident that what they see in search is exactly what gets booked. They are proactively warned about missing additional services when using the existing feature “Add new reservation item with same passenger and cancel the current“.

How it works

Price Difference on Search

  • When a sales agent opens Travel Product Search from an existing reservation item using “Add new item with same passengers and cancel the current”, the FIT Tour name associated with the original item is automatically passed into the search context.
  • This ensures that search results calculate the selling price using the correct FIT pricing policy rather than the generic product-based price.
  • The price difference column in search results, therefore, reflects the true price difference the customer would pay for the alternative service.

Additional Services Notification

  • System can now check whether the original reservation item’s additional services (e.g. a picnic package included with the accommodation) are also available on the alternative product being booked when a specific setup is done, and “Add new item with same passengers and cancel the current “ option is being used.

Updates to “Add new item with same passengers and cancel current” process

What’s new

Travel Product Search now shows the true financial impact when an agent replaces a reservation item using “Add new item with same passengers and cancel current”, with the price difference column factoring in the cancellation fee of the item being cancelled, and a new notification warns the agent about the cancellation fee when they do the replacement.

Problem being solved

Until now, when an agent searched for a replacement service from an existing reservation item, the price difference column compared only the gross prices of the old and new items. The cancellation fee triggered by dropping the original item was invisible at the search stage, so agents quoted figures that did not match what the customer ended up paying. Agents also had no in-system warning that confirming the replacement would generate a cancellation charge.

Benefit for the users

Agents now see the real out-of-pocket difference at the moment of choosing an alternative service, so the quoted price matches the invoiced price. This removes the need for side calculations in spreadsheets, reduces the risk of underquoting, and gives the customer transparent information up front. The notification adds a second safety net: even if the agent missed the recalculated price difference, the system explicitly confirms that a cancellation fee is applied.

How it works

Price Difference on Search

  • When the agent opens Travel Product Search from an existing reservation item via “Add new item with same passengers and cancel the current”, the system recalculates the price difference column for every result. The formula adds the cancellation fee of the original item (derived from its active cancellation policy as of the action date) to the price of the candidate replacement and subtracts the gross price of the original item. The result is the actual amount the customer will pay or be refunded if that alternative is selected.

Cancellation Fee Notification

  • When an agent selects“Add new item with same passengers and cancel current” and proceeds to book a replacement, the system now displays a notification after the agent clicks Inquiry, Option, or Confirmation. The notification informs the agent that completing this action and canceling the original item will generate a cancellation fee based on that product’s cancellation policy.
  • The notification is triggered only when:
    • The action used is “Add new item with same passengers and cancel current”
    • The cancellation fee amount for the original item is greater than zero (i.e. an active cancellation policy is defined)
